The University of St. Michael’s College is a Catholic post-secondary educational and research institution federated with the University of Toronto. The University offers full and part-time courses of an academic and professional nature through it’s various divisions. Scholarships and bursaries are made available to qualifying students in order to promote academic excellence and to assist those students in financial need. The University offers a full residence programme to students as well as hotel, conference and catering services to the public.
The University sponsors a number of defined benefit plans providing pension, other retirement and post-employment health benefits for most of its employees.
The purpose of this policy is to set out standards to ensure that the University preserves the confidentiality, accuracy and security of personal information. These standards are a guide in the collection, retention and disclosure of personal information and are intended to reflect the underlying principles of the Personal Information Protection and Electronic Documents Act and the Ontario Freedom of Information and Protection of Privacy Act.
Personal information includes any information about an identifiable person other than an individual’s business title, business address, business telephone/fax or business e-mail. Personal information does not include employee information as it relates to their employment or administration of benefit plans. Information concerning an individual who has been deceased in excess of thirty years is not personal information.
The University will only collect personal information necessary to properly administer its operations as set out above or as required by any government authority. When personal information is collected the University will inform the individual as to why it is collected and obtain their consent. In some instances when the purpose of collection is obvious it will be deemed that consent is implied.

The University will take all reasonable actions necessary to protect against loss, theft, unauthorized access, disclosure use or modification of personal information. Access to personal information is limited to those University employees who may need it to administer the operations of the University as set out above. Personal information is retained as long as is deemed necessary.
Every individual for whom the University holds personal information has the right to review that information and to request that corrections be made, except for reasons of security, academic or commercial confidentiality, legal privilege or where it is such that the information cannot be segregated sufficiently to protect the privacy of others. There is no cost for reasonable requests to review personal information except where copies are required or the search for records is extensive.
